Who we are

Smart Mission Toronto is a summer spiritual competition run by St. Mark Coptic Orthodox Church, Toronto, together with participating Coptic Orthodox churches in the Greater Toronto Area.

Information we collect

When you register, we collect:

Name, gender, date of birth and the school grade each person just completed
Church, phone number and email address of the person registering
Activity choices, talent descriptions, book choices and t-shirt sizes
Payment method and whether payment has been received
Exam scores and placements during the competition

If you use the contact form, we keep your name, email, phone number (if given), message and any files you attach so the Smart Mission organizers can reply to you by email from smartmission@stmarkstoronto.ca. We keep a copy of our replies with your message. Attached files are private and are only seen by the organizers.

If you sign up to volunteer, we keep your name, church, email, phone number, the ways you'd like to help and when you're available, so the organizers can contact you.

If you answer the end-of-season feedback survey, we keep your star ratings, whether your family would come back, your comments and (if you choose to share it) your church. When you open the survey from your email link, your answers are linked to your registration so you answer once and can change your answers. The organizers see the answers without names, and use them only to improve Smart Mission.

If you use the installed Smart Mission app, after you register or open your registration in the app, your phone remembers the link to it (only on that phone, nothing is sent to us), so the app can show "My registration" instead of asking you to register again. Tap "Not you?" on the home page to remove it. The website in a browser never remembers it. Find my registration emails a one-time 6-digit code to the address you registered with; the code is not stored and stops working after 10 minutes.

Online payments are handled by PayPal. We never see or store card numbers or bank details.

How we use it

To organize the competition: groups, exams, books, t-shirts and schedules
To check participants in on test day (each member has a QR code on their receipt and name tag that holds only their member number)
To email a registration confirmation with member numbers and payment details
To contact families about registration, payment and events, including email reminders about unpaid fees and upcoming events, and an invitation to the end-of-season feedback survey
To record and announce results and awards
To show each family their own registration, and their results and certificates once they are released. A family finds it by entering their email and a member number, and we email a one-time code to that address only
To celebrate perfect scores on the home page, showing the member's name, grade and church

Your information is shared only with the Smart Mission organizers and servants who need it, and is never sold.

Photos and videos

Photos and videos are taken during Smart Mission events, including ceremonies, exams, sports and talent performances. By registering, you agree that photos and videos of the people you register may be:

Shown in the Gallery and Talents sections of this website
Used in slideshows and memories shown at Smart Mission events and in participating churches
Kept as part of the Smart Mission archive and shown on this website in later years

If you would like a photo or video removed, email us at smartmission@stmarkstoronto.ca and we will take it down.

How long we keep it

Registration details are kept for the season and for records of past seasons. For older seasons, the organizers remove phone numbers, email addresses and dates of birth, and delete old contact-form messages and volunteer sign-ups. Names, grades, churches and results are kept as a record of past competitions. Photos and videos are kept in the gallery as memories of Smart Mission unless you ask us to remove them.
